Introduction
The Scheduling section serves two important purposes. First, it gives your team a convenient, real-time view of your class schedule without having to switch back to your POS system. Second, it provides your AI Assistant with the scheduling information it needs to answer questions, recommend classes, and assist clients with booking.
Class Schedule
The Class Schedule tab displays your live schedule pulled directly from your POS system.
From here, you can:
Navigate between previous and future weeks.
Select any date on the calendar.
View class times, occupancy, and bookings.
Open any class to view additional details.
When you open a class, you'll be able to see:
Current bookings
Waitlisted clients
Canceled bookings
The full class roster (when applicable)
This provides your staff with a quick, centralized view of class attendance.
Creating a Class / Appointment Text Campaign (Message an Entire Class)
One of the most useful tools within the Scheduling section is the ability to quickly message everyone enrolled in a class.
From any class, you can select Create Campaign, which opens the Campaign builder with the class roster already selected.
This is especially helpful for situations such as:
Class cancellations
Weather closures
Instructor changes
Last-minute studio updates
Instead of manually selecting recipients, SalesRevv automatically builds the audience from the class roster.
Class Types
The Class Types tab allows you to manage how the AI Assistant understands each class offered at your studio.
For each class type, you can configure:
Active or Inactive status
First Timer designation
AI Instructions
First Timer Classes
If your studio offers a dedicated introductory or first-time class, you can designate that class as a First Timer class.
When enabled, the AI Assistant will prioritize recommending those classes to new prospects rather than suggesting standard classes.
Studios that do not offer a dedicated first-time class can simply leave this setting turned off.
AI Instructions
Each class type also includes optional AI Instructions.
These instructions provide additional guidance to the AI Assistant about how that particular class should be presented or booked.
Examples might include:
Recommending this class only for beginners.
Explaining prerequisites before booking.
Highlighting special equipment or preparation requirements.
Providing additional booking guidance.
Like the rest of AI HQ, these instructions are optional but can help create a more customized client experience.
Why This Matters
The Scheduling section supports both your staff and your AI Assistant by combining live scheduling information with AI training.
Your team benefits from a centralized scheduling view, while the AI Assistant uses these settings to recommend the appropriate classes, answer scheduling questions, and provide a more personalized booking experience.
Pro Tip: If your studio has a dedicated introductory class, be sure to mark it as a First Timer class and consider adding AI Instructions. This helps ensure new prospects are consistently guided into the correct class experience.
