Quick guide to understanding your analytics including tracking tasks and activity.

Introduction

The Analytics section provides a deeper look into your business performance by combining lead activity, bookings, staff performance, campaigns, and membership data into one centralized reporting area. Unlike the Dashboard, Analytics allows you to dive deeper into trends, compare performance over time, and better understand what's driving your results.


Navigating Analytics

Analytics can be found under Workspace > Analytics.

Across the top of the page you'll find several reporting tabs, including:

  • Overview

  • Tasking & Staff Activity

  • Prospects

  • Members

Within each tab, you can also choose to view:

  • All Leads

  • Qualified Leads

  • Non-Qualified Leads

You can also customize the reporting period using the date selector in the upper-right corner.


Overview

The Overview page provides a high-level snapshot of your business, including:

  • Revenue

  • Membership metrics

  • Booking performance

  • Lead activity

  • Ribbon Chart

  • Booking charts

One important distinction is the difference between the Ribbon Chart and the Booking Metrics.

Ribbon Chart

The Ribbon Chart is a true lead funnel.

It follows only the leads that entered during the selected reporting period and shows how many:

  • Booked

  • Attended

  • Purchased

  • Became Missed Sales

  • Continued through each stage of the funnel

For example:

If 1,100 leads entered during the last six months, the Ribbon Chart follows only those 1,100 leads through each stage of the sales process.


Booking Metrics

The booking charts display all first-time bookings that occurred during the selected date range, regardless of when the lead originally entered your system.

Because of this, booking totals may differ from the Ribbon Chart.

For example:

  • A lead generated three months ago who books today will appear in your booking totals.

  • That same booking would not appear in the Ribbon Chart unless the lead originally entered during the selected reporting period.


Tasking & Staff Activity

This section provides detailed reporting on both AI Assistant and staff performance.

You'll find:

  • Tasks completed

  • Tasks skipped

  • AI Assistant task activity

  • Staff task activity

  • Weekly task summaries

You'll also see a Staff Activity Heat Map, allowing you to quickly identify:

  • Which staff members are active

  • When they're most active

  • How many actions they're completing throughout the day

Unlike task reporting alone, the activity heat map measures actual platform activity, including:

  • Text messages sent

  • Emails sent

  • Logged phone calls

  • Other staff actions throughout the platform

Additional charts provide further breakdowns of staff performance and campaign activity, including who sent each campaign.


Prospects

The Prospects tab provides reporting on every lead that entered your business during the selected timeframe.

You'll find information such as:

  • Total prospects

  • Lead sources

  • Prospect breakdowns

  • Additional reporting on lead activity and performance


Members

The Members tab focuses on membership reporting.

This includes:

  • Membership trends

  • Member metrics

  • New members acquired during the selected reporting period


Qualified vs. Non-Qualified Reporting

Throughout Analytics, you can switch between:

  • All Leads

  • Qualified Leads

  • Non-Qualified Leads

Qualified leads are prospects your business considers legitimate sales opportunities.

Non-qualified leads typically include contacts such as:

  • Third-party referral sources (such as ClassPass)

  • Other lead types your business has designated as non-qualified

These classifications are controlled through Client Types, allowing you to customize what qualifies as a lead for your business.

Viewing Qualified Leads separately gives you a more accurate picture of your team's true sales performance by removing lead sources that may not represent realistic sales opportunities.


Why This Matters

Analytics helps you move beyond surface-level numbers and understand what is happening throughout your sales process. Whether you're reviewing lead conversion, staff productivity, campaign performance, or qualified lead results, Analytics gives you the tools to make informed decisions and identify opportunities for improvement.

Pro Tip: When reviewing conversion rates, compare All Leads against Qualified Leads. This often provides a much clearer picture of your team's actual performance by removing lead sources that were never expected to convert.
