Introduction
This is an in-depth training on fully customizing a pipeline: creating it, setting its filters, managing its settings and building every step.
Before you start: You rarely need to build a pipeline from scratch. If a SalesRevv or brand pipeline is already close to what you want, duplicate it instead and adjust the filters, steps or days. It gives you a foundation and saves time.
Pipelines vs. Workflows
Pipelines are a journey you want a client to go through. For example, a new lead journey with outreach on Day 1, 3, 5 and 7, then again at 30 or 60 days. Or a new member nurture with a message every few days.
Workflows are based on one specific event, like a birthday or a booking reminder.
Important: A client can only be in one pipeline at a time. Workflows can still run for that client while they're in a pipeline, even several at once.
Creating a New Pipeline
Go to AI HQ > Pipelines and click New Pipeline in the top-right corner.
Enter a Name, such as Unscheduled 45 Days.
Add a Description explaining the pipeline's purpose, such as new leads who haven't booked.
Choose a Category, or click + to create a new one.
You can set up your filters now or create the pipeline first and add filters after. Either works.
Setting Your Filters
Filters decide who enters the pipeline. You can choose from Common Filters or build Custom Filters.
Start from the closest common filter so most of the work is already done. For example, to build an Unscheduled 45 Days pipeline:
Select the Unscheduled 30 common filter.
Click Custom Filter to see the conditions it includes. In this case, Client Added in the Last 30 Days, Prospect, Not a Member and Total Booking Count of None.
Change Client Added from 30 to 45 days.
You can narrow it as far as you want. For example, add a referral type so only your Facebook leads enter the pipeline.
Previewing Who Matches
As you choose filters, SalesRevv shows how many clients match. Click Preview to see exactly who they are, then click any client's name to open their profile and confirm they belong.
Click Save once your filters are right.
Pipeline Settings
At the bottom of Settings, you can enable, disable, run, pause or stop the pipeline. Two settings here are worth knowing in detail.
Close to New Clients
Turn on Close to New Clients when you want the clients already in the pipeline to finish their journey, but don't want anyone new to enter.
For example, if you're changing where your leads come from and turning on a new pipeline, the 50 people already in this one will complete their steps without getting mixed into different messaging.
Move All Clients
Use Move All Clients when you want everyone in this pipeline to move to a different one.
For example, if you've revamped your outreach to unscheduled leads in a new pipeline, you can move the 50 people in the old pipeline so they get the new messaging.
Important: The new pipeline has to be turned on first so clients have somewhere to go.
Building Your Steps
Click New Step at the bottom of the pipeline. It starts as Day 1 with a blank action. Click Add Action and choose the task type:
Assistant SMS: Your AI Assistant sends a text.
Assistant Email: Your AI Assistant sends an email.
Staff SMS: Creates a task for staff to send a text.
Staff Email: Creates a task for staff to send an email.
Staff Call: Creates a task for staff to call the client.
General Task: Creates a general staff task, such as an FYI.
Choose the day, then write the message. You can use variables, such as the client's first name.
Adding More Than One Action to a Day
To add another action on the same day, click Add Action within that day. Timing switches to hours and minutes, because you're still on that day.
For example, on Day 1 of a new lead pipeline, send an Assistant SMS, then add a Staff Call one hour later. The message for the staff task is optional.
Pro Tip: Leave about an hour between an AI text and a staff call. If the client replies and books in that time, they leave the pipeline and your team doesn't need to make the call.
Adding the Next Step
Click New Step again to add the next day.
Important: New steps start on Day 1, so change the day to when you want it to send.
For example, add a text on Day 3, then an email on Day 5. Emails can be a simple message that reads like a personal check-in, or a designed marketing email from a template. To use a template, click Choose Template, then Use Template.
Keep adding steps for as long as the journey runs, such as 45 days.
Pro Tip: Everything here works the same in a duplicated pipeline. You can add marketing emails, add a step or change your filters without starting from scratch.
