Introduction
The Voice settings allow you to configure how incoming calls to your SalesRevv number are routed. You can choose whether calls ring multiple people at once, follow a specific sequence, use an IVR menu, or route directly to a user or device.
This training focuses specifically on configuring your call routing. Setting up individual phone devices is covered in a separate training.
Getting to Your Voice Settings
Navigate to Settings > Communications > Voice.
From here:
Make sure Voice is enabled.
Go to Phone Numbers.
Find the phone number you want to manage.
Click Configure to set up how incoming calls should be handled.
Call Routing Options
When configuring what happens when a call comes in, you'll have several options:
Ring Group â Rings multiple users or devices at the same time. Whoever is available can answer the call.
Call Tree â Rings users or devices in a specific order. For example, Sarah may receive the call first for 10 seconds. If she doesn't answer, it can move to Paul.
IVR Menu â Creates options for the caller, such as "Press 1 for Sales" or "Press 2 for Operations."
Direct User â Routes the call directly to one SalesRevv user.
Direct Device â Routes the call directly to one configured phone device.
Important: Routing Calls to Users
If you route calls to a user, that user must have the SalesRevv app downloaded and configured on their device in order for incoming calls to ring to them.
If the app is not installed, routing the call to that user will not allow their device to ring.
Creating a Ring Group
To create a Ring Group:
Click Create Resource.
Select Ring Group.
Give the Ring Group a name, such as "Studio" or "Weekend Team."
Select the users and/or phone devices you want included.
Determine how long the group should ring before moving to voicemail.
Save your settings.
You can create multiple Ring Groups if you want different routing setups for different needs.
For example, an incoming call could simultaneously ring your front desk phone and a staff user's app, allowing either person to answer.
Creating a Call Tree
A Call Tree allows you to determine the order in which people or devices receive an incoming call.
For example:
Ring Sarah for 10 seconds.
If there is no answer, ring Paul for 10 seconds.
Continue adding steps as needed.
If no one answers, send the call to voicemail.
This is helpful when you want certain team members to have the first opportunity to answer before moving the call to someone else.
Setting Up Voicemail
Your Default Voicemail determines what happens when an incoming call isn't answered.
From the Voice settings, select the Default Voicemail to:
Customize the voicemail message.
Set the maximum recording length.
Save your voicemail settings.
Pro Tip: Before finalizing your routing, confirm that every user included in a Ring Group, Call Tree, or Direct User setup has the SalesRevv app downloaded and configured. This helps ensure calls actually ring to the intended team members.
