Pipelines power outreach by layering communication steps behind the scenes.

Introduction

Pipelines are the foundation of the AI Assistant’s outreach. Every message the AI Assistant sends to initiate or for continued reach out comes from a Pipeline. They’re called “Pipelines” because in the platform, they are literally layered on top of each other to create a sequence of communication steps.

Pipelines form much of the foundation of how the platform works, but this is not a section you’ll need to access often. Instead, think of it as the behind-the-scenes engine driving outreach, with visibility into who is in each Pipeline and how they’re progressing.


Viewing Pipelines

  • Each Pipeline shows whether it is active or disabled.

  • You’ll see a snapshot of:

    • The initials of clients currently in the Pipeline.

    • Counts of clients who are active, paused, stopped, or completed.

  • This lets you know at a glance how communication is flowing for that particular Pipeline.


Inside a Pipeline

Clicking into a Pipeline (for example, Unscheduled 7 Days) opens up details, including:

  • Client List – All clients currently in the Pipeline.

    • Shows their current step, status (active, paused, stopped), and the date they were added.

    • You can click a client’s name to open their full profile.

  • Tabs Across the Top – Quickly filter between:

    • Active clients.

    • Paused clients.

    • Stopped clients.

    • Completed clients.

    • All tasks generated by that Pipeline.

  • Steps View – Displays the communication steps built into the Pipeline. (See the separate Steps & Customization Training for more details.)

  • Settings (Danger Zone) – Options to pause or stop the entire Pipeline.

    • Pause stops communication temporarily but allows you to resume later.

    • Deactivate disables the Pipeline entirely, stopping all outreach for that workflow.


Organizing Pipelines

  • On the left-hand side, you’ll see filters for the pipelines themselves.

  • Depending on your brand, you may not use all possible Pipelines (e.g., third-party vendors, trial-specific outreach).

  • Use filters to narrow down to the Pipelines relevant to your studio.


Why This Matters

Pipelines are the blueprint for how the AI Assistant reaches out. By reviewing this section, you can:

  • Confirm that the right outreach sequences are active.

  • Monitor which clients are currently receiving communication.

  • Adjust or disable entire Pipelines when needed.

Pro Tip: While the Inbox and Tasking sections are where your team spends most of their time, the Pipelines section is your way to see and manage the overall structure of automated communication.
